Terms and Conditions of Holiday Tenancy with Coffin Bay Holiday Rentals

Bookings cancelled because of inability to travel due to COVID will be refunded in full.

It is the responsibility of all guests to be aware of and act in accordance to the following holiday rental conditions. By confirming your reservation, you are acknowledging acceptance of these rules.

Our aim is to maintain a high level of service and accommodation. These conditions of tenancy are necessary to protect the owner’s valuable holiday properties and to ensure that the property remains at a high standard for the enjoyment of subsequent holiday makers.

1. General

No parties – no functions, no weddings or gatherings of any kind unless permission has been sought.

Respect residents and neighbours by keeping noise to a minimum especially between 10pm and 8am.

We want you to enjoy your stay, but please be aware of the impact of your noise on others and keeping our neighbours happy is of paramount importance. Noise and music should not impact on any other property and noise levels are to be respectful at all times. There is to be no outdoor music or outdoor entertaining after 10pm. Noise complaints will result in bond deductions and possible evictions.

NO SMOKING permitted inside any of our holiday properties

The agent makes the booking in good faith, but your booking may be subject to change or cancellation by the owner at any time prior to the arrival date of you booking. The agent cannot accept responsibility for actions taken by the owner and we will endeavour to find you alternate accommodation.

Similarly, no responsibility will be accepted by the agent for errors, omissions or descriptions of holiday properties.

Rates may be subject to change for bookings made more than 3 months in advance by the discretion of the owner.

2. Bookings and Payments

If booking is over 1 month away, a deposit of 25% of the total rental amount is required to hold the booking. Until this deposit payment is received other guests can also book the property. If you need us to hold the property for you, please contact the office.

The full balance is due one month prior to your arrival date. A reminder email will be sent from the website booking system with payment details.

If booking is less than 1 month away, 100% of total rental amount is required at time of booking.

We accept Visa and MasterCard (1.22% merchant charge is applicable) or monies can be paid by direct deposit.

3. Cancelled Bookings

If a booking is cancelled because a guest is unable to travel due to COVID, we will refund in full less an admin fee.

If you need to cancel your booking please contact the office as soon as possible. We endeavour to provide a full refund less an administration. Our formal policy is:

If a guest cancels a confirmed booking more than 1 month prior to check in, the deposit will be returned less a $100 cancellation fee. This covers the booking fee we are charged by our Booking Manager and other administration fees.

If a guest cancels a confirmed booking less than 1 months prior to check in, there is no refund unless the property can be rebooked. If the property is rebooked, We endeavour to refund as much as we can.

In the event of advance bookings being cancelled by the owner and/or agent, a full refund will apply.

Due consideration will be given in consultation with the owner, to any cancellation at any time occasioned by exceptional circumstances.

We cannot accept responsibility for actions taken by the owner of the premises outside our control, and we reserve the right to cancel any booking, as per the owner’s instruction. In this event we will notify you as soon as possible and do our best to arrange other accommodation or dates suitable to you, failing which all deposit monies paid will be refunded, but no other claim, or action or demand shall exist in or be made by either party.

Bookings are taken by the agent in good faith; however, the guest acknowledges that the agent does not own the property and that the owner may instruct the agent to cancel or ask the guest to amend booking dates at any time up to the day of check in.

Guests should consider taking our comprehensive holiday cancellation and protection insurance with a repurtable insurance company to cater for any unforeseen circumstances which may arise including accident, ill health or any other matters beyond the Guests’s reasonable control.

4. Security Bond

A $300 bond or credit card details are held as security to cover any extra expense incurred during your stay. Any bond deductions will be followed with an explanation and tax invoice for costs incurred. Please note that even though a cleaning fee is paid, the property should still be left clean and tidy.

If the $300 has been paid with the booking, this will be refunded at the end of the month following your departure.

If credit card details are supplied, these will be destroyed following your departure.

5. Keys

Key information will be sent to you in a pre-arrival email 2 days prior to arrival.

Check in: 2:00pm onwards
Departure: By 10:00 am
Early check-in or late check-out can at times be negotiated at a fee – please contact 0427 844 568

Please secure all doors and windows on departure and leave the key where you found it (lock box or in the door).

6. Bedding and Linen

All properties are equipped with mattress and pillow protectors plus doonas, pillows and covers.

It is our policy that beds must only be used with full linen. Any person found to have been in breach of this condition (sleeping directly on protectors) will be charged an additional laundering fee deducted from the security bond.

Guests can either bring their own linen (sheets, pillow cases and towel), or we can arrange for linen hire through Coffin Bay Linen Service.

7. Age Limit/No of Guests

Properties will not be available to any person under the age of 21 without adult supervision unless prior approval has been obtained from Coffin Bay Holiday Rentals. Contact the office on 0427 844 658 to discuss your booking.

The number of persons sleeping at the property is not to exceed the number of beds provided. If numbers are exceeded without prior negotiations either an additional per person charge will apply or the tenancy may be terminated and full bond retained and monies forfeited. Swags, tents, campervans or caravans are not permitted without prior approval.

8. Pets

A small selection of our homeowners will allow pets on the property; however, pets must remain outside only unless specified on an individual basis and negotiated with management at the time of reservation. A local dogcatcher monitors domestic dog laws within the region, and it is the pet owner’s responsibility to abide by these laws. Any additional cleaning or maintenance required as a result of pets will be deducted from the security bond and or charged at cost.

6. Provisions

All Coffin Bay Holiday Rentals properties are considered self-contained and generally include a range of kitchen appliances and utensils, television, furnishing, barbeque, washing machine etc. Properties are furnished and decorated to the owner’s taste. Our website contains information on appliances in each property.

All properties will have limited cleaning supplies (dishwashing liquid, dishwashing tablets, dish cloth, tea towels, soap, toilet paper) but guests will need to bring additional supplies if the accommodation is for a longer stay.

7. Cleaning on Departure

Guests are asked to leave the property Clean and Tidy. A cleaner is employed to check over each holiday property on guests’ departure and to attend to cleaning issues accordingly, with an allowance of 2 hours for a routine clean. We ask that you leave the property clean and tidy on departure and report any breakages or maintenance issues on the provided feedback form. UNDER NO CIRCUMSTANCES is fish cleaning to be done inside the property.

8. Rubbish Removal

Please place council supplied wheelie bins on the kerbside ready for early morning collection on Tuesday for Coffin Bay and Wednesday for Dutton Bay. Garbage left at the property or outside of the wheelie bin in excess of the council limit will be charged to your bond at $10 per bag. Please use the crates provided for the recyclable cans and bottles only (with lids removed).

9. Repairs and Maintenance

All breakages and damage to property or goods are to be reported and paid for. For concerns of an urgent nature (effecting health or safety) please ring 0427 844 568. For all other breakages, please contact the office during office hours. The landlord and property manager reserve the right to enter the property at any reasonable time to attend to repairs or maintenance.

10. Lost Property

Any property left on the premises will be retained for collection for 14 days from the time of departure and may be collected from our office or return posted at cost. After this time, it will be disposed of or donated to charity
